By accessing or using the Service, you acknowledge that you have reviewed this Privacy Policy.
Scope of This Privacy Policy
This Privacy Policy applies to information collected through the Service from or about:
The Service is primarily designed for veterinary professionals and veterinary organizations to support veterinary nutrition workflows, including homemade diet formulation, patient profile management, nutrition-related analysis, case collaboration, and AI-assisted explanatory features.
This Privacy Policy does not apply to third-party websites, applications, or services that we do not own or control.

Veterinary staff and other authorized clinic users
Pet owners whose information is submitted to the Service by a Customer or Authorized User

Definitions
For purposes of this Privacy Policy:
“Customer” means a veterinary clinic, veterinary hospital, veterinary organization, veterinarian, or other person or entity that registers for, purchases, subscribes to, or uses the Service.
“Authorized User” means an individual permitted by a Customer to access or use the Service under the Customer’s account, including veterinarians and authorized clinic staff.
“Clinic Account” means an organizational account associated with a veterinary clinic, hospital, or veterinary organization through which multiple Authorized Users may access the Service.
“Customer Data” means information, files, records, text, images, documents, prompts, communications, and other content submitted to, stored in, transmitted through, or generated in connection with a Customer’s use of the Service. Customer Data may include pet owner information, veterinary patient information, medical records, laboratory results, dietary histories, consultation notes, formulation inputs, generated outputs, chatbot history, and uploaded files.
“Personal Information” means information that identifies, relates to, describes, or can reasonably be linked with an identifiable individual, such as a veterinarian, veterinary staff member, clinic representative, or pet owner.

4 Formulation and AI-Assisted Feature Information
We may collect information submitted through our formulation tools and AI-assisted features, including:
Formulation requests
Patient-specific nutritional inputs
Ingredient selections
Nutritional targets
Generated homemade diet recipes
Nutritional calculations and reports
Chatbot questions and prompts
AI-assisted responses
User edits, feedback, and corrections; and

5 Subscription, Billing, and Payment Information
If a Customer purchases a paid subscription or other paid feature, we may collect:

Unless expressly disclosed otherwise, PetFoodis.AI does not receive full payment card information from purchases made through third-party affiliate links.

Customers and Authorized Users may upload or submit veterinary medical records, laboratory reports, case summaries, consultation records, images, PDFs, dietary histories, and other patient-related information to the Service.
We process Customer Data only as reasonably necessary to:

Clinic Accounts and Sharing Within a Clinic
The Service may offer Clinic Accounts that allow multiple Authorized Users associated with the same veterinary clinic, hospital, or organization to access shared information.
For a Clinic Account:
Access may depend on the roles, permissions, or administrative settings available within the Service; and
The Customer is responsible for determining which individuals are authorized to access its Clinic Account and for promptly removing access when it is no longer appropriate.
Customers are responsible for ensuring that internal access to pet owner and veterinary patient information is consistent with applicable law, professional obligations, clinic policies, and any required authorizations.
Veterinary patient profiles associated with that Clinic Account may be accessible to Authorized Users of the same Clinic Account
Authorized Users may be able to view, create, revise, or use case information, uploaded records, formulation inputs, generated outputs, and related workflow materials associated with that Clinic Account
Automated Formulation and AI-Assisted Features
The Service may include both automated formulation functionality and AI-assisted functionality.
1 Automated Formulation Outputs
Certain recipe, nutritional calculation, and formulation outputs may be generated using proprietary software logic, calculation methods, nutritional databases, ingredient information, and formulation rules.
These formulation outputs may not be generated by artificial intelligence.
2 AI-Assisted Features Provided Through Google
Certain chatbot responses, explanations, summaries, educational comments, workflow assistance features, or similar functionality may use artificial intelligence services provided by Google.
When a user requests an AI-assisted feature, information necessary to produce the requested response may be transmitted to and processed by Google. Such information may include:

We do not authorize Google to use identifiable Customer Data submitted through the Service to train or fine-tune general-purpose artificial intelligence or machine learning models unless the applicable Customer separately and expressly authorizes such use.

3 Veterinary Review Required
The Service is intended to support veterinary professionals and veterinary nutrition workflows. It does not replace independent veterinary judgment, diagnosis, treatment, prescription, monitoring, or the veterinarian-client-patient relationship.
Veterinarian users remain responsible for reviewing and approving formulation outputs, reports, AI-assisted responses, and related materials before relying on them clinically or sharing them with pet owners.
How We Disclose Information
We may disclose information in the following circumstances.

We may disclose information to vendors and service providers that assist us in operating the Service, including:

Customer Data associated with a Clinic Account may be disclosed or made accessible to Authorized Users associated with that same Clinic Account, as described in Section 6.
This may include veterinary patient profiles, uploaded records, formulation inputs, generated outputs, chatbot records, and other case-related materials.
3 Pet Owners and Recipients Selected by Customers
Customers or Authorized Users may choose to export, download, print, email, or otherwise share recipes, formulation outputs, reports, or other materials with pet owners or other recipients.
Disclosures made independently by Customers or Authorized Users outside the Service are controlled by those Customers or Authorized Users and are not disclosures made by PetFoodis.AI.
4 Legal, Security, and Safety Reasons
We may disclose information where reasonably necessary to:
Comply with applicable law, regulation, subpoena, court order, or legal process
Respond to lawful governmental requests
Investigate fraud, unauthorized access, misuse, security incidents, or violations of our policies
Protect the rights, property, safety, and security of PetFoodis.AI, Customers, users, or others
Establish, exercise, or defend legal claims; or
Enforce our Terms of Use and other agreements.
5 Business Transfers
Information may be disclosed or transferred in connection with a merger, acquisition, financing, corporate restructuring, bankruptcy, sale of assets, or similar business transaction.
Any successor organization will be required to handle Personal Information in accordance with applicable law and any commitments applicable at the time of transfer, unless legally permitted notice and choice are provided.
6 Affiliate Networks, Merchants, and Product Sellers
We may disclose or make available limited information relating to affiliate link interactions to third-party merchants, affiliate networks, tracking providers, or related commercial partners for purposes of operating the affiliate program, including:

We do not use identifiable veterinary patient information, pet owner information, or uploaded veterinary medical records for third-party advertising purposes.
Certain Outputs may include affiliate links to third-party supplement products or other products. If a user or recipient interacts with an affiliate link or completes a qualifying purchase, we may receive a commission or other compensation from the applicable merchant, affiliate network, or commercial partner.
Information processed in connection with affiliate links is used for referral attribution, commission administration, fraud prevention, accounting, dispute resolution, and related operational purposes. Our receipt of affiliate compensation does not mean that we sell Personal Information or share Personal Information for cross-context behavioral advertising.

Data Retention and Deletion

1 Data Maintained During an Active Account
While a Customer account remains active, veterinary patient profiles, pet owner information, uploaded records, formulation history, generated outputs, and chatbot records may remain available within the Service until deleted by the Customer or an Authorized User with appropriate permissions.
2 Individual Case Deletion
Where the Service provides deletion functionality, Customers or properly authorized users may delete individual patient profiles, case records, uploaded files, formulation histories, generated outputs, or chatbot histories.
Following a valid deletion request or user-initiated deletion:
Backup copies may remain in protected backup systems for up to 90 days before being deleted or overwritten through ordinary backup cycles; and
Deleted identifiable Customer Data will not be reused for new product development, AI model training, or unrelated analytics following processing of the deletion request, except where retention is legally permitted or required.
The deleted information will no longer be available through the active user interface once deletion is processed
The applicable information will be deleted from active systems within a reasonable period, generally no later than 30 days after deletion is initiated
3 Account Termination and Data Export
If a Customer terminates its account or subscription:
After the 30-day export period, we may delete veterinary patient information, pet owner information, uploaded records, formulation inputs, generated outputs, case history, and chatbot records from active systems; and
Deleted Customer Data may remain in protected backup systems for up to 90 days before being deleted or overwritten through ordinary backup cycles.
Customers are responsible for exporting and retaining any information needed for patient care, continuity of service, professional compliance, billing, dispute resolution, or legal recordkeeping before the export period expires.
The Customer will have up to 30 days following termination to export available Customer Data
During the export period, access may be limited to retrieval or export functionality, depending on the applicable account status
4 Limited Retention After Deletion or Termination
Notwithstanding the deletion periods above, we may retain limited information where reasonably necessary to:
Comply with applicable law
Maintain payment, billing, tax, invoice, or transaction records
Document privacy rights requests
Investigate security incidents, misuse, or fraud
Enforce our agreements
Maintain records subject to a legal hold; or
Establish, exercise, or defend legal claims.
5 Veterinary Medical Record Responsibility
The Service is designed as a veterinary nutrition workflow and formulation support tool.
PetFoodis.AI is not intended to serve as a Customer’s sole or official veterinary medical record retention system.
Customers are responsible for maintaining independent copies of veterinary medical records, recipes, reports, communications, and other documentation required by applicable law, professional standards, licensing obligations, or clinic policy.
Deletion, termination, suspension, or expiration of a PetFoodis.AI account does not relieve a Customer of its independent veterinary medical recordkeeping obligations.
Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, disclosure, or destruction.
These measures may include, where appropriate:
Customers and Authorized Users are responsible for maintaining the confidentiality of their login credentials, restricting access to authorized individuals, managing Clinic Account permissions, and promptly notifying us of suspected unauthorized access or security incidents involving their accounts.

3 Affiliate Networks and Third-Party Merchants
Certain Outputs may include affiliate links to supplement products or other third-party products.
If a Customer, pet owner, or other recipient clicks an affiliate link or makes a qualifying purchase through that link, White Stone Nutrition LLC, operating as PetFoodis.AI, may receive a commission or other financial compensation from the applicable merchant, affiliate network, or commercial partner.
Affiliate networks and third-party merchants may collect or process information relating to link clicks, referral identifiers, device or browser information, purchase attribution, qualifying transactions, and commission administration.
Purchases made through affiliate links are completed with the applicable third-party merchant. PetFoodis.AI is not the seller, manufacturer, distributor, pharmacy, or dispensing provider of a third-party supplement product unless expressly stated otherwise.
PetFoodis.AI does not control and is not responsible for the independent privacy practices, product information, pricing, availability, labeling, safety claims, shipping terms, return policies, or transaction practices of third-party merchants or affiliate networks.
